How to Eliminate Email Overload and Manage It Before It Manages You

Last week I asked this question on social media, “How many emails are in your inbox?” I got responses that varied from 1000-6000 and just about every number in between. I realized how many people are totally overwhelmed when it comes to handling their email. Here’s what inspired my question in the first place.

Every day I make it a point to submit 5 proposals. Well, late one night on some random day last week I was watching one of my favorite shows, Criminal Minds, and was just about to turn off the television to roll over and go to sleep. I happen to notice the red light blinking on my phone which let me know that I had mail.

Curious me took a glance and began to read it. Imagine my shock when I realized that it was a response to one of my proposals…at midnight! Why would you send an email to a stranger or potential client at that time of night?

Now, before you start with the “what if’s” let me state that she lives in the same time zone that I do.

Working as a Virtual Assistant | Social Media Content Manager, the majority of my communication takes place via email. However, I am not available 24 hours a day and neither should you. Boundaries must be set from day one!

So what did I do with my midnight email? I responded but I didn’t send it right away. Enter Boomerang!

I’d heard of this service before but never used it until I was recently reminded of it again and let me just say that it is the BOMB.  

Boomerang is a plugin for Chrome and Firefox that allows you to eliminate email overload by scheduling when you want to send email. That’s just one of the fabulous features. Let’s say you send a proposal to someone and you want to keep track of it. When you get ready to hit send, you can ask Boomerang to send it to the top of your inbox in 1 or 2 days. If you get no response from that email then Boomerang will send it to the top of your inbox in the time frame you set. No more lost emails! That’s helpful when you’re busy and find it difficult to keep up with everything.

Another fabulous feature is the ability to send recurring messages. Do you have a need to contact a client the same time every week or month? This is a great feature that you may need.

If you are the type of person that feels totally controlled by your inbox or you totally avoid your inbox because it’s just too much then this may be the answer for you.

You can respond to emails after hours, getting all your thoughts down while they’re still fresh in your mind and send it within the business hours that you set.

Boundaries!

We live in a ‘I want it now society’ and if you’re busy raising a family, taking care of yourself and building a business then you can’t allow people to feel they have 24/7 access to you. Take back your time while stile remaining professional, your family and clients will appreciate it and you.
